Encompass NextGen Doc Sync Assignment Retry

Which customers are impacted?:

Any customer currently or that will be enabling NextGen Doc Sync will have this new feature automatically available to them.

How to turn on:

This feature will be automatically enabled for all customers on the dates listed above.

Purpose of Update and Benefit:

This feature will allow for additional attempts to map documents via the NextGen Document Sync integration to the appropriate document bucket in Encompass. Since mapping a document to a bucket requires an exclusive lock on a loan, today many customers report documents in an unassigned bucket if they were uploaded while the loan is locked.

Current Behavior:

When a document is mapped via our NextGen Document sync integration, if the loan is locked at the time of the document upload, we will be able to upload the document but not assign it to the document bucket in Encompass, resulting in the document being applied to the unassigned bucket.

New Behavior:

When a document is mapped via our NextGen Document sync integration, if the loan is locked at the time of the document upload, we will be able to upload the document and place the assignment in a queue for future retries, resulting in the document being applied to the unassigned bucket temporarily. The queue is processed via scheduled job and the timing is an exponential backoff. The first retry will be at approximately 5 minutes and the final retry will be at approximately 4 hours, with several tapered retries in between. The retry will only attempt to assign the document and not upload it again.
